Job description


As a Merchandise Assistant (MA), you will support the daily operational functions within your designated buying area; support the buying team in managing the overall merchandise flow. You will also learn to develop key cross functional relationships with both the market and internal partners: distribution center, planning, website merchandising, brand creative and photo studio team. The MA is also responsible for partnering with the buying team on all necessary tasks.


Style Set-Up/Purchase Order Set-Up and Inventory Management

· Set up brand specific style numbers in Island Pacific

· Issue purchase orders in Island Pacific

· Execute all purchase order changes

· Ensure timely delivery of merchandise through consistent communication, tracking and follow-up with the vendors, production, DC and buying team

· Alert buyers to any costing or timing ramifications coming from purchase order changes

· Reconcile receipts against plan

· Acts as the point person for DC questions regarding orders (ex. Overages/shortages, QC, priorities)

· Enter styles into TXT (pre-season planning tool) as required/directed by buyers

Website Maintenance

· Load and maintain style tracker (MTS/STEP) for brand creative/web producer team

· Undertake necessary actions to ensure styles are live on the website in a timely fashion

· Ensure copy and details of styles on site are correct and alert team if corrections are necessary

· Provide brand creative/styling team with lists of themed styles at their request


· Work with Buyers to request appropriate number of samples for various teams/events

· Open all sample packages, review with buyer, take photos and pass to appropriate team

· Call in any missing samples from vendors or request from production via sample log


· Answer all emails promptly and in an organized fashion

After launch -Style Productivity Reporting

Help to prepare reporting for weekly business review and quarterly hindsight meetings

Vendor Communication

Act as liaison between the vendor and the buyer; responsible for all vendor follow-up such as facilitating discounts for late deliveries and cancellations of orders

Answer various inquiries, especially shipping related

Set up new vendors as needed, makes necessary revisions in Tradestone

Exhibits strong vendor communication skills and enforces vendor compliance rules; partners with buyer, vendor compliance and necessary other stakeholders to make exceptions when necessary

Attribute Management

Initiate and complete initial attribute assignment

Make all necessary attribute changes and confirm everything is coded correctly

Request new attributes from planning when necessary
