Executive Assistant to Brand President
Position Summary
We are seeking a highly organized and detail-oriented Executive Assistant to join our team, working directly under our Brand President. This position requires the ability to prioritize, anticipate needs, and be solution-oriented while managing a broad variety of administrative tasks. The Executive Assistant is responsible for providing comprehensive support, ensuring efficient operations with a high level of professionalism and confidentiality. The ideal candidate will have a passion organization and a knack for streamlining processes and ensuring that daily operations are carried out with ease and efficiency.
Primary Responsibilities
- Coordinate day-to-day business operations, perform general office administrative and clerical duties to free up time and enhance productivity.
- Office management: order, store and organize all office supplies, and keep office, neat, clean and orderly; manage and distribute mail
- Research, prioritize and follow up on internal issues and concerns, including those of a sensitive or confidential nature.
- Compose internal correspondence, memos, workflow instructions, and company policies, distributing as needed.
- Organize information and records systematically, ensuring easy access and retrieval when needed.
- Create agendas for key meetings, take well-organized and detailed meeting notes, distribute to team and ensure follow-up on action items.
- Exercises independent judgment to plan, prioritize, and organize diversified workload, recommending changes in office practices and procedures.
- Collaborate with any team or project as required, assisting with non-specialized ad hoc tasks.
Utilize Excel to create reports and track various metrics to support decision-making.
Proactively identify opportunities to improve processes and streamline workflows.
Qualifications
- 2+ years as an executive assistant or in a similar administrative role is required.
- Ability to juggle multiple projects, manage time, multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
- Inherently flexible, adapting to change quickly and easily and with a positive attitude. Proactive mindset with a willingness to take initiative and solve problems independently.
- Ability to effectively share information and communicate issues and solutions to all levels of business.
- Proficiency in Microsoft Excel and/or Google Sheets is essential; experience with formulas, pivot tables, and data analysis is highly desirable.
- Proficiency in Adobe Creative Suite, Photoshop, InDesign
- Proficiency in Google Suite
- Experience with Shopify, a plus
- Familiarity with project management tools/software is a plus.
